Where your credit is recorded, who holds the record, how it reaches a university or college, and how long it is kept.

The school's BSID

A Board or School Identification Number, or BSID, is the number the Ministry of Education uses to identify a school in its systems. It is what links a credit to the school that granted it.

Where the school stands today

A BSID has not yet been issued. The school has submitted its Notice of Intention, number 119689, and awaits validation. At that point a BSID is issued and the school is listed on the Ministry's open data website.

We say this plainly rather than leaving you to find out. Any school claiming a BSID it has not been issued is telling you something untrue.

When to expect it

Two separate Ministry steps are often confused. They happen in this order, and only the first one produces the BSID.

These timings are expectations, not promises. The Ministry sets its own schedule and the school does not control it. What we will do is tell you, by email, when the validation visit happens, when the BSID is issued and when the inspection is completed. You will not have to ask.

Your credit is recorded on your Ontario Student Transcript whether or not the number has been issued at the time you study. The BSID governs how the school appears in Ministry systems; it does not determine whether your credit is valid.

Our 90 day transcript guarantee

If your completed credit is not recorded on your Ontario Student Transcript within 90 days of you finishing the course, your tuition is refunded in full.

You do not have to follow Ministry process, chase anyone, or work out which step is outstanding. You finish the course, and if the credit is not on your transcript inside 90 days, you get your money back.

It applies to every student, in every session, regardless of your citizenship, immigration status or country of residence. It is set out in the school's Financial and Refund Policy.

Your Ontario Student Transcript

The Ontario Student Transcript, or OST, is the official record of the credits you have earned. Am-Can maintains, issues and stores an OST for every student in accordance with the Ontario Student Transcript Manual.

Your completed credit is recorded on it in the same way as a credit from any other Ontario school. A credit from this school is not marked differently and is not treated differently.

If you already attend another school

Most of our students are enrolled somewhere else and come to us for a single credit. If that is you, this is the part that matters.

You do not end up with two transcripts. Where you are concurrently enrolled at another day school that already holds your record, Am-Can does not establish a second transcript.

Instead the school notifies your day school in writing at admission, and forwards your result to them for inclusion on the transcript they already hold. Your record stays in one place.

How the credit reaches universities and colleges

Ontario schools report completed grades and diploma details to the Ontario Universities' Application Centre, which passes them to the universities you have applied to. Colleges receive them through OCAS.

Once the school's BSID is issued following the Ministry's validation visit, Am-Can reports completed credits through that standard provincial process.

What this means for timing

The BSID is expected after the validation visit in the first month of operations, which is earlier than the credit inspection, but the Ministry sets the date. If you are applying to university this year and you are relying on a mark reaching the application centre by a particular date, speak to us before you enrol, and speak to your day school.

Where you are enrolled at another school that holds your record, your result is forwarded to them and travels on their transcript, which is the ordinary route.

Report cards

Two Provincial Report Cards are issued in every session:

Each is signed by the Principal, issued to you through the portal and to your parent or guardian by email, and filed in your Ontario Student Record. The dates for all six sessions are published in the School Year Calendar.

Each report card shows your milestones scheduled, milestones completed, any excused, and your completion rate, alongside your marks.

Withdrawing a course, and what appears on your transcript

Ontario's full disclosure rule governs whether a withdrawn Grade 11 or 12 course appears on your transcript.

At Am-Can the withdrawal deadline is five instructional days after the mid session Provincial Report Card, which is the first report card of your session. Withdraw by then and the course does not appear on your transcript. Withdraw after it and the course is recorded, with the mark you held.

The school has adopted the Ministry's five day figure directly rather than scaling it down for a six week session, so that you get the same fixed and predictable period after seeing a mark that a student in a full semester gets.

Withdrawing is not the same as a refund. Refund terms are in the Financial and Refund Policy.

Your Ontario Student Record

The Ontario Student Record, or OSR, is the file of your educational history. The school establishes, maintains, uses, retains, transfers and disposes of it in accordance with the Ministry's Ontario Student Record Guideline, 2000.

It is held securely at the school's premises at Unit B, 99 Sante Drive, Vaughan. It holds your report cards, your transcript, and the documents that support decisions made about you, including any prerequisite waiver, which is recorded in writing with its reasons.

Where a course is substituted for a compulsory credit, that is recorded in your OSR and marked X on your transcript, which is the standard Ministry notation.

"Retire" is the Ministry's term for leaving the school, whether you finish, transfer or withdraw.

Seeing your record, and correcting it

You may examine your own Ontario Student Record. Where you are under 18, your parent or guardian may examine it too. Ask the administration office and we will arrange it.

If you believe something in your record is wrong, tell us. Where the record is inaccurate it is corrected. Where a decision recorded in it is one you disagree with, the school's Dispute Resolution and Academic Appeals Process is the route, and the Principal is the final decision maker within the school.
